Position Objectives:
The Administrative Assistant is the primary contact with residents and is responsible for ensuring payment processing, data entry, basic accounting functions, and communication functions in print, social media and website.
Duties and Responsibilities:
- Receiving telephone calls and other communications relating to invoices and general matters, determining the purpose of the inquiry, and providing the necessary information, or referring the inquiry to appropriate personnel. Planning and scheduling of events, meetings, bookings, etc.
- Handling regular correspondence regarding Town services, utilities, and other such general matters.
- Facilitating over the counter, mailed and electronic payments at the Town Office, and preparing the proper receipting of these transactions.
- Basic accounting (administer billings, accounts payable and accounts receivable) and preparing deposits.
- Preparation of tax certificates, business licenses, and animal permits
- Maintaining cemetery records
- Receiving and sending deliveries of mail, supplies, and other packages.
- Ensuring the Town Office is stocked with paper, envelopes, forms, stationary, and other essential supplies.
- Assisting members of Administration with general/clerical work. Provide administrative support such: as compose, edit and process correspondence, reports and meeting materials.
- Process incoming mail and inquiries, prioritize for urgency and direct to appropriate response or action.
- Maintain log of items requiring attention and contact assigned work areas to obtain updates.
- Provide inter-municipal support services as required
- Other duties as assigned
Minimum Requirements:
Required:
- Class 5 Driver’s License
- Strong written and oral communication skills.
- Relevant post-secondary education
- Service oriented, self-motivated, with high energy and an engaging level of enthusiasm.
Preferred:
- A strong working knowledge of Microsoft Office
- Previous experience working in a municipal environment
- Previous experience working in reception
